The problem

A database nobody trusts

The pipeline says four million in stage three. Ask the sales director what that number means and you get a shrug. Everyone keeps their real forecast in a spreadsheet, which is the clearest possible signal the CRM is not being used.

Why CRMs stop being used

  1. Stages have no exit criteria

    Qualified, Proposal, Negotiation. What has to be true to move? If nobody can answer, reps guess, the stages mean different things to different people, and the forecast is noise.

  2. It costs the rep time and gives them nothing

    Data entry that serves management reporting and helps the person entering it not at all. That is a losing trade and reps stop making it within a quarter.

  3. Everything is a required field

    Twenty-three required fields on a new deal, so reps enter nonsense to get past the form. Now the data is worse than if you had asked for nothing.

  4. Nobody owns it after go-live

    The implementation partner left, nobody internal was trained to administer it, and the system slowly diverges from how the business now works.

Starting with what a CRM is actually for.

AED 15,000 to AED 120,000 covers most of what we are asked to build. The number moves on how many users and pipelines, whether data migrates from an existing system and how messy it is, how many integrations, and whether ongoing administration is included. Licence fees are separate. Anything quoted before those are known is a guess. We scope first, then price, and the scope document is yours whether or not you proceed. These are market ranges rather than a fixed rate card — the proposal carries the real figure.

A shared record of every person and company you deal with, and every conversation, deal and task attached to them. The point is that it lives in one place the whole company can see rather than in individual inboxes and spreadsheets, so the business does not lose its memory when somebody leaves.

The usual split is operational, analytical and collaborative. Operational runs the day-to-day sales and service work. Analytical turns the data into reporting and forecasting. Collaborative shares customer context across teams. Most modern platforms do all three to some degree, so the distinction matters less when you are choosing than it does when you are deciding what to configure first.

For a very small team with a short sales cycle, honestly sometimes yes, and we would rather say that than sell you a system. A spreadsheet stops being enough when more than one person needs the same view, when follow-up is being missed, or when you cannot answer which marketing produced which customer.

It depends on whether marketing and sales genuinely need to share data, how much configuration you need, and whether you will have an administrator. We take no licence commission from anyone, so the recommendation is not a sales process. For many Dubai SMEs the answer is a simpler and cheaper platform than they expected.

Four to twelve weeks depending on scope and how clean the existing data is. The process workshop is usually a day or two and it determines everything after it. Migration is the step that most often runs long.

Someone has to own it. That can be an internal person we train, or us on an ongoing basis. What does not work is nobody, because the system will drift from how the business works within a year and people will quietly go back to spreadsheets.

Involve them in designing the stages, keep required fields to what is genuinely required, and make sure the system gives them something back — faster follow-up, less admin, automated quotes. Adoption is a design problem far more often than a discipline problem.

Adoption at thirty and ninety days: logged activity, deals progressing in-system, reports being opened. Then forecast accuracy, speed to first contact, and whether closed revenue can be traced back to its source. Those four tell you whether the project worked.

We audit first and give you an honest answer, and it is genuinely both depending on the case. Where the process was never defined, rebuilding is usually cheaper than patching. Where the process is sound and the configuration drifted, fixing is faster.

No. It is worth asking every agency you speak to, because a partner paid on your licence has a structural reason to recommend the more expensive platform.
