HubSpot & CRM

HubSpot configured for a long B2B cycle

HubSpot's defaults are built around a single contact converting reasonably quickly. A B2B deal involves several people over several months, most of whom never fill in a form, and a portal left on its defaults reports that badly enough to make the data untrustworthy.

  • Account level not contact level
  • Long cycle reporting that survives it
  • Committee tracked, not one contact

Partners & recognition

The stack we work in, the clients we keep

The platforms we build and run campaigns in, and the clients whose numbers we publish with their names on. HubSpot is the one partnership we claim; the rest are tools we use, not badges.

The problem

Configured for one buyer, one month

The default lifecycle assumes a person becomes a lead, then a customer. Your deal involves four people across two departments over seven months, and by month three the reporting no longer describes anything real.

Where B2B portals drift

  1. Everything is measured per contact

Four people at one company appear as four separate journeys. Nobody can see that the account is engaging, only that four individuals each did something small.

  2. Attribution windows are too short

A first touch nine months before close falls outside the default reporting window, so the channel that actually started the deal gets no credit and its budget gets cut.

  3. Lifecycle stages do not match the process

MQL and SQL used because they came with the platform, defined differently by marketing and sales. Every pipeline conversation becomes an argument about definitions.

  4. Deal stages have no exit criteria

So the forecast is a feeling. In a long cycle this compounds, because a deal can sit in one stage for months without anyone agreeing whether it has actually progressed.

What is included

What B2B configuration involves

The changes that make HubSpot describe a long, multi-person sale accurately.

Account-level reporting

Company as the unit rather than contact. So you can see that six people at one target account engaged this month, which is the signal that matters.

Buying committee tracking

Roles on the deal recorded — decision maker, user, technical evaluator, procurement — so you can see which parts of the committee you have and have not reached.

Lifecycle stages that match your process

Defined by what has actually happened rather than by platform defaults, and agreed between marketing and sales so the handover point is not disputed.

Deal stages with exit criteria

Written conditions for moving between stages, so the forecast is derived rather than estimated.

Long-window attribution

Reporting configured for a cycle measured in months, so early touches still get credit and the channels that create demand are not defunded.

Custom objects where they fit

For tenders, sites, projects or subscriptions that do not map onto contacts and deals. Common in construction, logistics and professional services here.

Sequences and outreach at account level

Coordinated across the committee rather than sent to one contact, and visible to the rep who owns the account.

Integration with quoting and proposals

Because B2B deals involve documents, versions and approvals, and rebuilding a quote by hand each time is where reps lose hours.

Technology

What we configure for B2B

HubSpot, set up for the way the sale actually happens.

HubSpot

Beyond the defaults.

  • Sales Hub
  • Marketing Hub
  • Operations Hub
  • Custom objects
  • Account-based tools

Reporting

For a long cycle.

  • Account-level dashboards
  • Long-window attribution
  • Stage conversion and velocity
  • Forecast accuracy tracking

Integration

The B2B stack.

  • Quoting and proposal tools
  • LinkedIn Sales Navigator
  • Accounting systems
  • Tender and document management

Data

Committee and account.

  • Company hierarchy
  • Buying role properties
  • Firmographic enrichment
  • Deduplication at account level

How we work

How B2B configuration runs

Model the real sale first, then make the platform describe it.

Who, over how long

Who is involved at each stage, how long each takes, and what actually moves a deal forward. Almost always longer and more people than the current configuration assumes.

  • Buying committee roles identified
  • Real cycle length measured from CRM history
  • Stage exit criteria written
  • Marketing and sales handover agreed

To that model

Lifecycle stages, deal stages, committee roles, account-level views and custom objects where the standard ones do not fit.

  • Lifecycle stages redefined
  • Deal stages given exit criteria
  • Committee roles recorded on the deal
  • Custom objects where genuinely needed

To the real window

Attribution over a window that matches your cycle, account-level dashboards, and velocity reporting so you can see where deals actually stall.

  • Attribution window matched to cycle
  • Account-level dashboards built
  • Stage velocity tracked
  • Forecast derived from exit criteria

Then check the forecast

Reps trained on the new stages, then forecast accuracy tracked over a quarter. If the forecast still does not predict, the exit criteria need more work.

  • Reps trained on exit criteria
  • Committee role capture built into the workflow
  • Forecast accuracy tracked
  • Criteria refined where the forecast misses

Why us

Why this portal will describe your sale

Because it is configured around several people over several months rather than one person over a fortnight.

Account is the unit, not contact

So six people engaging at one target company reads as one strong signal rather than six weak ones.

Attribution matched to your real cycle

A default window will not credit a touch from nine months ago, which is how the channels that create B2B demand quietly lose their budget.

Committee roles are recorded

You can see which parts of the buying group you have reached and which you have not, which is the single most useful thing a B2B pipeline report can tell you.

Stages have written exit criteria

So the forecast is derived from what has happened rather than estimated from optimism, which matters more the longer the cycle is.

Start a projectTell us your average cycle length and how many people are typically involved. If the portal is configured for less than that, it is not describing your business.

Questions

HubSpot for B2B, answered plainly

Including whether HubSpot suits a complex B2B sale at all.

AED 18,000 to AED 120,000 covers most of what we are asked to build. The number moves on how complex the sales process is, whether custom objects are needed, how many integrations, and whether existing data needs restructuring at account level. Anything quoted before those are known is a guess. We scope first, then price, and the scope document is yours whether or not you proceed. These are market ranges rather than a fixed rate card — the proposal carries the real figure.

Yes, with configuration. Out of the box it leans towards a shorter, single-contact journey, which is why complex B2B teams sometimes conclude it is not for them. The gap is almost always configuration rather than capability: account-level reporting, committee roles, exit criteria and a longer attribution window.

Salesforce is more configurable and expects a dedicated administrator. HubSpot is faster to get running and keeps marketing in the same system, which matters if the two teams need shared data. For most Dubai mid-market B2B, the deciding question is whether you will have an administrator, not which platform is more capable.

Sometimes, and less often than people expect. If your business revolves around something that is not a contact, company or deal — tenders, sites, vessels, subscriptions — then yes. Otherwise custom objects add complexity that has to be maintained. We will push back before building them.

Use them only if marketing and sales genuinely agree on the definitions, in writing. In practice we more often see them causing arguments than creating clarity, and replacing them with stages defined by observable events works better.

Only if it is configured for it. Default attribution windows will not credit a first touch from nine months earlier, so the channel that started the deal appears to produce nothing. Extending the window is straightforward and rarely done.

Roles recorded against the deal — decision maker, user, technical evaluator, procurement — captured as part of the rep's normal workflow rather than as extra admin. Then reporting on committee coverage, which shows where a deal is exposed.

Four to ten weeks depending on how much existing data needs restructuring. Mapping the real sale takes the first week or two and determines everything after.

Forecast accuracy over a quarter, and whether the pipeline report survives a challenge from the sales director. Those two together are the honest test.

Yes, though it usually needs restructuring at account level and deduplicating. We audit it first and tell you what is worth keeping, because migrating everything for completeness is how a fresh configuration inherits an old problem.

Yes. We run the LinkedIn, ABM, content and paid programmes that generate B2B demand, and having the same team on both sides means the reporting and the campaigns are built against the same definitions.
