Marketing automation that runs the follow-up nobody has time for

HubSpot marketing automation in Dubai is worth having for one reason: it does the follow-up consistently, and no human team does. It stops paying its way the moment it sends things nobody asked for, which happens in most implementations by about month four.

  • Follow-up consistent, not occasional
  • Switched off where it adds noise
  • Clean data the thing it runs on

Platforms & clients

The stack we work in, the clients we keep

The platforms we build and run campaigns in, and the clients whose numbers we publish with their names on. These are tools we use, not partner badges.

The problem

Automated emails nobody reads

Eleven emails over six weeks, sent to everyone who downloaded anything from a lead generation form, with almost nobody still opening by email four. The automation runs perfectly, yet it achieves nothing and slowly wears down the sender reputation of your domain.

Where automation goes wrong

  1. It was built to fill a calendar, not to answer a question

Someone decided the series should run to seven emails, then went looking for seven things to say. Start from the buyer's questions instead and most series come out at three emails, and they perform better.

  2. Everyone gets everything

No segmentation beyond a single lead capture form on one of your landing pages. A procurement director at a large enterprise and a student researching a dissertation get identical emails, so the content fails to engage either of them.

  3. The data underneath is wrong

Personalisation tokens fire with blank values because the industry field was never filled in. Duplicate contacts get the same email twice. Automation multiplies whatever quality your contact base already has.

  4. Nothing gets switched off

Workflows pile up for years because nobody owns the job of switching them off. Several contradict each other, and one is still sending a webinar invitation from two years ago.

What is included

What marketing automation covers here

We design workflows on clean data and scope them to the work that needs automating, then audit them so they never pile up.

Lifecycle stage and lead routing

What happens when someone converts: who owns the contact, how fast they're reached and what the system does if nobody touches them. Automation rules assign leads to the right owner automatically and create follow-up tasks for sales, usually the highest-return automation there is.

Nurture sequences

Written to nurture leads by answering the questions a buyer has at that stage, and only as long as that takes. Targeted by what someone did on your site, not by a single form they filled in.

Behavioural triggers

Triggers and actions that respond to real interactions: the pricing page visited twice, a proposal opened, a renewal coming up. They work far better than emails on a timer, and they're rarely built.

Internal notifications

Alerts and tasks that tell a salesperson directly when their prospect is back on the site. If nobody follows up, the sales manager hears about it in a channel they read. It's simple and cheap, and it's often the automation that brings in the most revenue.

Lead scoring

Where volume justifies it, so your sales team works leads in order of how ready they are to buy. The detail is on our lead scoring page.

Data hygiene automation

Normalising field values, flagging duplicates and handling contacts who have gone quiet. These are the manual, administrative tasks nobody enjoys doing by hand, and automation keeps them done every week.

Consent and communication preferences

Preference centres, unsubscribe handling and consent records, which matter legally and also decide whether your email reaches an inbox at all.

Workflow audit and retirement

Reviewing what is running, including workflows from marketing campaigns that ended long ago, and switching off whatever is not earning its place. Almost nobody does this, and every mature portal needs it.

Technology

What we build automation in

Whatever software you already run, plus the deliverability setup that decides whether any of it arrives.

Platforms

Where the automated workflows live.

  • HubSpot
  • Salesforce Marketing Cloud
  • Mailchimp
  • Klaviyo
  • ActiveCampaign
  • Customer.io

Deliverability

Because unsent email is worthless.

  • SPF, DKIM and DMARC
  • Domain warming
  • Bounce and complaint handling
  • Inbox placement testing

Data

What automation runs on.

  • Deduplication
  • Field normalisation
  • Consent records
  • Suppression list management

Integration

We integrate these so triggers reflect what people did.

  • CRM sync
  • Website behaviour tracking
  • Google and social media ad audiences
  • WhatsApp Business

How we work

How automation work runs

Audit what exists, fix the data, then build less than you were planning to.

Usually a surprise

We list every active workflow, what triggers it, what it sends and whether anyone reads it. On a portal more than two years old, this usually turns up automation nobody knew was running.

  • Every active workflow inventoried
  • Overlaps and contradictions identified
  • Engagement level measured for each email
  • Retirement list produced

Before automating on it

Deduplication, field normalisation, consent records and deliverability setup come first. Automation amplifies data quality in both directions, so bad records get worse faster.

  • Duplicates resolved
  • Personalisation tokens checked against real records
  • SPF, DKIM and DMARC configured
  • Suppression and consent handled

Routing first

Lead routing and sales alerts come first, because they bring in revenue sooner and are far simpler to design and build. Behavioural triggers follow, and the email series comes last, kept short.

  • Routing and speed-to-lead first
  • Internal alerts where sales will see them
  • Behavioural triggers over time-based
  • Sequences kept short on purpose

And switch things off

We track engagement per workflow, review it on a schedule and retire weak performers rather than leave them running. This is the step that keeps a portal healthy year after year.

  • Engagement reviewed per workflow
  • Underperformers retired, not tolerated
  • Deliverability monitored
  • Workflow count kept deliberately low

Why us

Why this automation will still be earning in a year

Because we keep it small and review it often, which is the opposite of how automation usually goes.

We switch workflows off

A quarterly review retires whatever is not earning its place. Most portals only ever grow, and the noise ends up costing more than the automation earns.

Data hygiene comes first

Deduplication, field normalisation and deliverability are fixed before we build a single email. Clean records make everything built later cheaper to run and easier to trust.

Routing before nurture

Getting a lead to the right sales rep in minutes beats an eleven-email series, costs less to build, and almost nobody does it first.

Measured on outcome, not sends

We count meetings booked, deals influenced and conversion rates, the numbers sales and marketing both care about. Send volume is the metric that makes weak email campaigns look busy.

Questions

Marketing automation, answered plainly

Including when you should have less of it.

It depends on scope, so we don't quote a figure before we've seen your setup. The price moves with the number of workflows and segments, how much clean-up and deliverability work is needed, and the integrations involved. Whether you want ongoing management changes it too. We scope first, then price, and the scope document is yours whether or not you go ahead.

Lead routing and internal notifications, every time. Get a new lead to the right person on your sales team within minutes, with an alert they'll see. That brings in more revenue than any nurture email and takes a fraction of the effort to build.

As long as it takes to answer the questions a buyer has at that stage. That's usually three to five emails, not the eleven that often get proposed. Write the content first and let it set the length, because deciding the length first is how filler gets written.

Personalise what you know and nothing else. A token firing with a blank value, or a first name in the wrong case, does more damage to the customer experience than plain text. Segment on what people do on your site rather than on fields nobody fills in.

Yes, and often better than for B2B, because consumer volumes let behavioural triggers work at scale. Abandoned basket, browse abandonment, replenishment for products people reorder, and post-purchase emails are reliably worth building. WhatsApp is worth running alongside email here, with messages in Arabic and English where your customers use both.

Usually, and the cause is almost always authentication and reputation rather than content. Often the SPF, DKIM and DMARC records on the sending domain were never set up properly. Other times a new domain started sending email campaigns too hard and too fast, or the list has a high bounce rate. We check those before rewriting a single email.

Fewer than you have, and there's no correct number. The useful test is whether someone on your team can name every active workflow and say what it does. If they can't, some of them should be switched off.

Yes, and it's a good place to start. We list what's running, what it sends, what engagement it gets and what we'd retire. It's a short piece of work, and it usually finds emails nobody remembers setting up.

Meetings booked and deals moved through the deal pipeline, not sends and email opens. Open rates have become unreliable since mail privacy protection started pre-loading images, so a programme judged on opens is judged on noise. The Adnika Dashboard: one live view of a client's ads, analytics and CRM data, with AI recommendations reviewed by the strategist. On an automation project, it puts the meetings each workflow booked next to campaign performance for the ads that brought those leads in.

No, and treat any proposal that implies it with caution. Automation handles the repetitive tasks, like the follow-ups that get forgotten, and gets the right lead to the right person faster. Your sales team still has the conversation, and your marketing strategies still come from people.

Yes. We work in HubSpot most, across Marketing Hub and HubSpot Sales Hub, and also in Salesforce Marketing Cloud, Klaviyo, ActiveCampaign, Customer.io and Mailchimp. For e-commerce, Klaviyo is often the better tool and we'll say so.

Which automation features you get depends on what your HubSpot plan allows, so we check yours before building anything. We only suggest a change of plan when the work needs it, and for a small list it often doesn't.
