CRM integration services in Dubai, without the copy-paste

CRM integration for Dubai businesses: your website, CRM and ERP share leads, listings, orders and statuses, so nobody retypes them. Already live: a plugin of ours brings a property CRM's listings onto a client's website every hour. New system connections we'd build start from a field-by-field map and can alert your team when they fail.

  • Hourly Goyzer CRM listings into a client website
  • 99+ projects delivered
  • 15+ years designing and building websites

Which systems should be talking?

A senior person reads this and replies within one working day. No call centre, no drip sequence.

What we do

CRM integration, explained without the vendor jargon

CRM integration refers to the process of linking your customer relationship management system (CRM) to other software, so customer data moves without manual data entry. An enquiry lands in your CRM tagged with its source. Sales sees an invoice's status without phoning finance. We'd map each connection before anyone builds it.

  • Website forms into your CRM, source attached
  • Listings, orders and statuses kept current
  • Retries and failure alerts can be built in

Sometimes the CRM's own connector is enough, and we'll say so.

  1. Types of CRM integration

Seven kinds of data integration cover most needs. Contacts come from four: website forms, ad-platform lead forms, email tools and VoIP phone systems (calls over the internet) that log calls. The other three carry records: online store orders, accounting or ERP software (enterprise resource planning: stock and invoices) and property listing feeds. A CRM with email marketing works from one contact list; a CRM with accounting data shows you what's paid. Integrate your CRM first wherever someone retypes most.

  2. A live example: Goyzer and WordPress

Concept Plus Real Estate keeps its listings in Goyzer, a real estate CRM built in Dubai. That CRM stays the owner, so the website shows a listing but never edits it. A WordPress plugin we wrote fetches the listings on an hourly schedule. Enquiries travel the other way, arriving in the CRM as new leads. If you're planning something similar, copy that shape: two one-way flows, each with a single owner.

  3. When copy-paste is still fine

Copy-paste is sometimes the cheaper option. Getting a handful of enquiries a week, all in one inbox? Connecting your systems may cost more than it saves. That's no longer true once the same customer lives in 2 or 3 of your systems, leads wait hours to be copied across, or your website's prices disagree with your CRM. Reports nobody trusts are another sign. Even then, start small and connect the one flow that hurts most.

How we work

How the CRM integration process works, from data map to live sync

Your project would move through 4 stages; after each, you'd get a document or a working flow you can inspect. The first stage produces the data map, your integration strategy written down field by field. Building would start once you've signed it off.

Start with a field-by-field data map

When two of your systems disagree about a customer's phone number, which one wins? The audit settles that for every field. It lists each system you use, then every field that moves, with its format and its source of truth (the system whose value counts). Duplicate rules, opt-in fields and volumes go in too, plus each system's documentation and its rate limit, the cap on requests.

  • Every system and field listed
  • An owner named for each field
  • Duplicate and opt-in rules agreed
  • API access and limits checked
  • A data map you sign off

Connections built on each system's API

Leads and catalogues move differently. A new enquiry can't wait, so it travels by webhook: the sending system calls yours the moment something happens. Listings and stock aren't urgent, so they go on a schedule. The code might live in a plugin inside your website, a Cloudflare Worker or a connector tool. We'd keep access keys on the server, never in your visitors' browsers, and calls can be logged.

  • Webhooks for leads, schedules for catalogues
  • Keys kept server-side, never in the browser
  • Logs you can check
  • Failure handling planned up front

One workflow tested before the rest

Picture a test enquiry typed on a phone: name in Arabic, number missing its +971. Testing follows it into your CRM, then checks who on your team was notified and whether the opt-in field arrived. Then things get broken on purpose. The same form goes in twice, the CRM goes offline, a required field stays blank. We'd test on sample or masked records, not your live customer data.

  • One path tested end to end first
  • Arabic names and +971 numbers tested
  • Same form sent twice, on purpose
  • Failures simulated before launch

Go live, then hand over

Flows would go live one at a time while someone reads the logs, not all at once before a long weekend. If retries run out, an alert can go to a named person, on your team or ours. You'd keep a short runbook: what moves, how often, which system owns which field and who to call. Ongoing checks can then sit with website maintenance.

  • Flows switched on one at a time
  • A named person can be alerted
  • A short runbook your team can read
  • Ongoing checks under maintenance

How we use AI

Where AI speeds up integration work, and where people decide

01

Reading the API docs first

The documentation runs long, and the part you need is rarely on the first page. AI reads it alongside a masked sample export and drafts a first list of fields and limits. Is that list right? Not until a developer has checked every item against the live system.

02

A first-draft field map

From the audit notes, AI roughs out the mapping table and a list of test cases, sparing someone the dull typing. It doesn't decide anything, though. Which system owns each field? When do two records count as the same person? Those calls stay with people who've spoken to sales and finance on your side.

03

Code a developer signs off

This field to that one, this date format to that, over and over: mapping code repeats itself. AI helps write it faster, unit tests included. A developer would still review each change before release, and we'd run the tests against sample or masked data.

04

Reading error logs faster

A failing sync can bury the real cause under near-identical log errors. AI groups them, so that cause surfaces sooner. Someone on the team still picks the fix, then tells you in plain words what went wrong and what changed.

Why us

Why choose Adnika for CRM and system integration

Judge a CRM integration agency by what you can check. Here, that's a working sync, our own enquiries running through a CRM, and candour about ready-made connectors.

A live CRM sync you can look at

Our plugin talks to someone else's CRM: Goyzer is third-party software, so the plugin can only do what its API allows. Within those limits, the CRM's own listings reach Concept Plus Real Estate's website every hour. Open the site and you're looking at the output.

Our own enquiries run through a CRM

The enquiry forms on adnika.com are HubSpot forms, so each enquiry you send through them creates or updates a contact record in the CRM. We depend on the same form-to-CRM step this page describes. Setting that platform up for you, onboarding included, is another service we offer.

Fields first, tools second

The method comes out of the data audit. For each of your connections, it might be the CRM's built-in connector, a no-code tool, custom code or a scheduled file export. Occasionally the right answer is to keep one manual step.

Arabic and English data, Dubai and Stockholm

Your customers' names don't always arrive in one script. One form collects Arabic, another Latin spelling, and the same buyer can end up filed twice; right-to-left notes have to survive the trip too. Our team works in both languages, out of Dubai and Stockholm, backed by 15+ years and 99+ delivered projects.

Start a projectSay what your team retypes by hand; we'll map what can move by itself.

Capabilities in detail

CRM and ERP integration services, connection by connection

Pick any item and you can scope it alone, or combine several. The data audit shows which ones match your integration needs; the rest can wait.

Website to CRM integration for every form

Submit, check, map, write, notify. A website CRM integration can run those 5 steps for every lead capture form, catching spam and blank fields before your CRM sees them. On WordPress that covers contact forms and a WooCommerce checkout. Wix can send form data out through its automations. Shopify's contact form only emails you, so there you'd need an app or your CRM's own form.

Lead source tracking from ad to deal

Google's GA4 guidance is to always tag links with utm_source, utm_medium and utm_campaign, UTM tags that record a click's origin. UTM tracking pays off once those values reach your CRM with each enquiry, along with the GCLID that Google Ads auto-tagging adds. Then lead tracking and CRM reporting can tie spend to deals. Some browsers strip click IDs, so expect gaps. A CRM with marketing automation builds on this.

Property listing feeds from a real estate CRM

A buyer asks about a two-bedroom that sold yesterday, and your website was the last to know. Real estate CRM integration fixes that by treating your CRM as the record. Prices and statuses come directly from the CRM on a schedule, photos included, and a sold unit has to leave your site. Concept Plus Real Estate's schedule is hourly, from Goyzer.

Two-way sync and the source-of-truth rule

Two-way sync sounds tidy until your sales and finance teams edit one phone number on the same afternoon. So the source of truth, meaning whose value wins, is set field by field. Your CRM might own the deal stage while your ERP keeps credit limits and invoices. Your website owns nothing. Plenty of safe 'two-way' set-ups are really two one-way flows.

ERP integration: orders, invoices and stock

Your ERP holds what sales keeps asking finance about. CRM and ERP integration can create each customer account once and show invoice status within the CRM. Stock levels can reach your website too. If you run Odoo, plan for version 22 (autumn 2028), when its XML-RPC and JSON-RPC endpoints are scheduled for removal; version 19 already documents a JSON-2 API. Any new screens belong to custom web development.

CRM API integration and webhooks: the basics

An API is the list of requests a system agrees to answer. REST APIs, a common style, work over ordinary web addresses. With a webhook, the direction flips: instead of you asking every few minutes, the system tells you as each change happens. Most CRMs offer both, within limits. HubSpot, for example, sets 10-second and daily caps and returns an error above them.

Instant or scheduled sync: picking the timing

How stale can this data get before it costs you a sale? For a new lead, not very: real time, by webhook, is worth it. Stock levels and price lists often change only a few times a day, so syncing your CRM with them hourly or overnight is usually lighter on rate limits. It's easier to check, too: a log can show what each scheduled run did.

Error alerts and retry queues

Your CRM is mid-update just as a visitor presses send. What then? A retry queue, a waiting list for records that didn't go through, can hold the enquiry and try again, leaving longer gaps each time. If the attempts run out, a named person can get an alert with the record attached, ready to key in by hand. After launch, routine checks fall under website maintenance.

Data mapping for Arabic and English records

Four mismatches are common in UAE customer information. A name sits in Arabic script in one system, Latin spelling in another, sometimes split across two fields. Phone numbers arrive with or without +971 and the leading zero. Picklists (fixed dropdown values) store 'Dubai' as a word in one place and as a code elsewhere. Date and currency formats clash. Field mapping settles each one before you start integrating.

Duplicate rules and safe retries

Duplicates are cheaper to prevent than to merge. Here's a CRM deduplication trap: HubSpot deduplicates contacts by email address and companies by domain name, yet companies created through its API aren't deduplicated by domain. So your sync should search before it creates. Writes should also be idempotent, meaning one request sent twice still makes one record. And don't blindly resend a write that timed out; it may have landed.

Consent fields and the UAE PDPL

A tick that never reaches your CRM doesn't prove much. What your visitor agreed to should travel with the lead as a dated field, wording included. The Personal Data Protection Law (Federal Decree-Law No. 45 of 2021, in force since 2 January 2022) bars processing personal data without consent, with listed exceptions. Free zones such as DIFC have their own law. Your legal adviser decides which applies.

Cleaning the data before the first sync

A sync copies whatever it finds, three spellings of one company included. So CRM data cleansing comes first, though only for the fields your sync will touch. Merge duplicates. Then standardise phone formats and picklists; records your team hasn't opened in years can be archived. Moving from spreadsheets or an old system into HubSpot is a bigger job. That's CRM data migration, handled as onboarding.

Integration platform or custom integration

An iPaaS (integration platform as a service) links your apps through ready-made connectors. Zapier (priced by tasks) and Make (by credits) are examples. Custom code suits high volumes, unusual business processes or a system with no connector; the layer between systems is often called middleware. Large firms call the same idea enterprise application integration. We'll say which fits you. Website cost drivers, integrations included, sit on the pricing page.

When HubSpot is your CRM

If it's already your CRM software, your website is often the easy part. Its own forms create a contact, or update the existing one when the email address matches, with no custom code. Your accounting system or a listing feed is different. It still needs mapping. Pipelines, set-up and onboarding sit with our CRM services.

Choosing the right CRM: integration checks

Before you sign with a CRM provider, check 6 CRM features that decide how well it connects. Does it have an open API with webhooks, and a full data export? What about right-to-left Arabic text? Where is your data stored? The UAE's data protection law sets rules for transfers abroad. Then weigh per-user licence pricing as your team grows, and call limits. FAQ

CRM integration in Dubai, frequently asked questions

Plain answers on cost, timing, sync rules and data. Where the honest answer is an off-the-shelf connector, or no project at all, we say so.

CRM integration means linking your CRM system to the other software you use, so customer data passes between them without anyone retyping it. Say a visitor fills in your website form: a contact record appears, source and all. Or an online store order lands on the customer's record before sales picks up the phone.

Yes: a property website that takes its listings from a real estate CRM. The listing you're browsing on Concept Plus Real Estate's website comes from Goyzer and is updated hourly. When you enquire, your details travel the opposite way and become a fresh lead in the CRM. One WordPress plugin, written by us, handles both directions.

Scope sets your cost, which is why your systems get mapped before any quote. Six things move it: the number of systems, one-way or two-way data flow, how well each system is documented, how much data needs cleaning, volumes and monitoring. CRM software is a separate bill; licences are usually priced per user per month. Our page on web design pricing lists integrations as a website cost driver.

There's no single best CRM in the UAE; a good CRM solution fits your sales process, languages, budget and the systems it must connect to. HubSpot, Salesforce and Zoho CRM are general-purpose CRM platforms for contacts, deals and follow-ups. Odoo puts CRM and ERP in one system; Goyzer was built in Dubai for real estate.

API integration is code that lets two systems exchange data through their APIs. Before you connect your CRM to anything, read both sets of documentation and get access keys. Then comes the mapping. It often takes more effort than the coding. Calls get built with logging and tested on sample records, and switching on comes last, once failure alerts can reach a person.

An ERP integration connects your ERP, the system running stock, orders and accounts, to your other software. Connecting CRM and ERP data works in two directions. Sales sees orders and invoices from inside your CRM (stock too), and new customers flow across without retyping. A ready-made ERP connector sometimes covers the basics. Decide early which side creates the customer record, or you'll get two.

Real time for leads, a schedule for most catalogue data. An enquiry loses value by the minute, so you want it sent as soon as the form is submitted. Your stock levels and listings rarely change that fast, and an hourly run puts less strain on rate limits and is simpler to verify.

A well-built sync pauses and tries again; if it keeps failing, it can alert a person. Meanwhile the record sits in a retry queue with its error logged, each attempt spaced a little further apart. That alert can reach someone on your side or ours, record attached. Nobody can promise a sync never fails.

Four habits stop most duplicate records in a CRM. Agree on one match key: email, phone or a customer ID. Search before creating anything. Every write should be safe to repeat, so a second attempt can't add a copy to your CRM records. And clean up beforehand; your first sync will happily copy old mistakes across.

More than one system usually holds the source of truth, decided field by field. Contacts and deal stages tend to belong to your CRM. Prices, stock and invoices belong to your ERP, and a property CRM owns its listings. Your website? It rarely owns anything; it displays and collects. Write each decision down so nobody has to guess later.

Use a platform when a ready connector exists and volumes are modest; if either condition fails, build custom. A no-code tool that already links both systems could be enough. But complicated rules, high volume or a per-task bill that keeps climbing? That's when custom code earns its keep.

Usually, yes: clean at least the data in your CRM that the integration will touch, though not the whole database. Skip it and a customer saved twice in the CRM gets created twice in your accounts system too, and your team stops trusting both. A short clean-up beforehand tends to cost less than untangling it afterwards.

The timeline for a CRM system integration depends on how many systems take part and how good their documentation is. So it's set after the data audit. Two well-documented systems and one direction is nothing like four systems that all write to each other. If your project includes a new website, we publish four to twelve weeks as the range for most website builds.

Both. Our own site's enquiry forms run on HubSpot. Other CRMs connect through their APIs; a real estate CRM feeding a client's property website is one we've connected. Your data audit shows what your CRM's integration capabilities really are. Setting up a brand-new CRM is a separate service.

We'd capture consent on the form and store it in your CRM as its own field. That field can hold a timestamp and the exact wording agreed to. Legally, Federal Decree-Law No. 45 of 2021 requires consent for processing personal data, apart from listed exceptions. Free zones such as DIFC have their own data protection law. Ask your legal adviser which rules apply.

Older software can often be integrated with your new website or CRM system if it has an API or at least exports files. A scheduled export imported on a timer may do the job, or a small piece of middleware can bridge the two. Some systems can't be reached, though. Then a manual step, or replacing the software, can cost you less.

Ask any agency 5 questions before you hire it. Can I see one of your connections running? Who keeps the code and the access keys afterwards? What happens when a call fails? How are duplicates handled? Who watches it after launch? Vague answers to any of these are a warning. Ask us the same ones.

A CRM system isn't usually difficult to learn for day-to-day work, provided it's set up around your own sales steps. An integrated CRM also leaves fewer fields to fill in by hand. Most of the benefits of CRM come from people actually using it; our CRM set-up and training service covers that part.
